Customer Configuration

Customer Statuses
Section titled “Customer Statuses”A customer status shows where an account stands, such as Active, Suspended or Ceased. The status controls whether the customer can use services and how they are billed, and every change is tracked for a clear account history. For example, an Ex-Customer status stops billing without needing a dropped date.
Customer Status Name
Section titled “Customer Status Name”Define the name and display properties for this customer status

| Customer Status (Short) | Abbreviated name for this customer status used in space-constrained displays |
| Customer Status Availability | Availability of this customer status (Headline, Standard, or Historical) |

| Customer Status Display Position | Sort order position for displaying this customer status in lists |
Status
Section titled “Status”Configure the active state and access permissions for this customer status

| Is Active | Whether customers with this status are considered active |
| Is Suspended | Whether customers with this status are treated as suspended |
| CRM Only | Whether customers with this status are CRM-only records |
| Has Frontend Login Access | Whether customers with this status can log in to the customer portal |
| Next Status | Status that customers will automatically progress to from this status |
| Related Number Status | Number status that should be applied to numbers when customer has this status |
| Related Service Status | Service status that should be applied to services when customer has this status |
| Related Feature Status | Feature status that should be applied to features when customer has this status |
| Visible in Backend | Whether this customer status appears in backend status lists and reports |
Billing
Section titled “Billing”Control billing behaviour and charge processing for customers with this status

| Send Correspondence | Whether customers with this status should receive automated correspondence and notifications |
| Override Invoice Message | Special message to include on invoices for customers with this status |
| Ignore Invoice Thresholds | Whether to bypass minimum invoice amount limits for customers with this status |
| Can Have Calls | Whether customers with this status can have call charges on their invoices |
| Can Have Fixed Charges | Whether customers with this status can have recurring service charges |
| Process Automatic Payments | Whether to attempt automatic payment collection for customers with this status |
Final Bill
Section titled “Final Bill”Special billing rules for final invoices when customers have this status

Update Requirements

Customer Groups
Section titled “Customer Groups”A customer group is a flexible way to organise customers for management and reporting. Unlike a customer class, a customer can belong to several groups at once, such as both “VIP Client” and “London Region”. Groups can also apply data protection rules to sets of customers.
Customer Group Name
Section titled “Customer Group Name”This section contains the basic information for the customer group, including its name, display settings, and positioning.

Customer Group Data Protection Settings
Section titled “Customer Group Data Protection Settings”Data protection and compliance settings that determine how customers in this group are handled with respect to personal data and business classification.

System Information

| Created | Timestamp when this customer group was created |
Departments
Section titled “Departments”A department is a team in your organisation. Departments control who can access what, and make sure notes, tickets and tasks reach the right people, so billing queries go to your accounts team and service issues go to your technical team.
Department Name
Section titled “Department Name”This section contains the basic information for the department, including its name and identification.
