No automatic collection
Open Credit Control > No Auto-collection to find customers who owe money where automatic collection is not currently possible.
What you need: Credit Control, customer and invoice access, plus list permissions for the payment methods your platform uses.
What belongs here
Section titled “What belongs here”The list shows each customer’s remaining invoice balance after credit offsets, such as credit notes and overpaid invoices. A customer appears when:
- they pay automatically, but have no suitable card or Direct Debit mandate. These appear straight away.
- their only card or mandate is set for automatic collection, but nothing creates the collection for that provider: there is no scheduled creation and no delivery or download trigger switched on.
- they pay manually and an invoice is overdue, allowing for the grace period filter.
A failed collection attempt does not by itself put an invoice on this list. Failed attempts stay on Payments, although a failure that leaves the setup unusable can also bring the customer here.
The other collection worklists cover different problems:
- Missed Collections lists invoices with usable automatic collection that was never attempted.
- Pending Payments lists payments awaiting submission, including overdue automatic submissions.
Invoices move between these lists as the customer’s payment setup changes.
Filters and columns
Section titled “Filters and columns”- Grace period: Use grace period (the default) or Ignore grace period for manual-payment invoices. Ageing still uses the invoice due date.
- Payment expectation: All payments, Automatic payment expected or Manual payment expected. The outstanding amount and oldest due date follow this choice.
Where you can see the customer’s payment method, each row lists the payment methods expected and short badges for their cards and mandates. A badge reads Missing only where an automatic method needs one and none is suitable. Field visibility settings for payment methods, cards and mandates still apply.
Acknowledgements stay in place when you change the grace or payment expectation filters.
Arrange payment
Section titled “Arrange payment”Credit Control staff should check the account and agree the next step with the customer.
- Open the customer and check their invoices and payment history.
- Choose Payment links to provide a MyAccount payment or payment-method setup link, where available.
- Alternatively, use Take card payment when telephone payments are enabled and you have permission.
- Use Add TODO if someone needs to follow up later.
Payment links require a MyAccount customer profile and permission to generate them. Telephone payments have separate setup and permissions.
Totals stay separate by currency. See shared attention decisions to acknowledge or pause an issue for the team.
