Email Bills

After invoices are produced and the post-billing report is confirmed, you can send bills to customers.

The billing run progress panel shows how many bills need emailing. Click through to the Send Bills page to select and send them. The Send Action controls what happens: Email Bills, Generate Print Bundle, or Generate Archive Bundle.

Choose Email Bills as the Send Action. Bills are sent as PDF attachments with a link to MyAccount where customers can view their invoices online.

Only customers flagged for email billing and in a status that allows correspondence will receive emails. You can select which invoices to send and exclude individual customers if needed. The platform pre-ticks invoices that meet your chosen thresholds, such as a minimum invoice amount, outstanding balance, or customer balance, so you can target the bills that matter.

Unapproved invoices are automatically approved when sent.

For customers who receive paper bills, choose Generate Print Bundle. The platform creates a PDF bundle and emails it to your configured print address. Large bundles may be split across multiple emails. The “Generate Printable Bill Bundle” option in the Billing menu opens the same page with this action already selected.

Archive bundles are deprecated. Record-keeping is now handled by Disaster Recovery Files, available from the main menu. Use those instead for keeping copies of your invoices.

The Generate Archive Bundle action still exists for older setups. It works the same way as a print bundle but is sent to your configured archive address.

The Send Bills page lets you filter invoices by:

  • Billing run
  • Customer group
  • Invoice amount or outstanding balance
  • Date range
  • Whether the invoice has already been sent

This makes it straightforward to send bills in batches or resend specific invoices.

Send Bills is for invoices only. To send other letters such as reminders or notices to many customers at once, use Bulk Correspondence.
