Accounting Integrations
The SAFE Billing Platform can be integrated with third party accounting/bookkeeping products to automate financial data synchronisation and eliminate manual data entry.
Available Accounting Integrations
Section titled “Available Accounting Integrations”Xero Integration
Section titled “Xero Integration”Xero - Two-way synchronisation between the billing platform and Xero accounting software. The integration shares customer records, invoices, and payments to keep your accounts accurate and up-to-date.
Key benefits:
- Eliminate manual invoice entry in Xero
- Automatic customer synchronisation
- Two-way payment reconciliation
- Reduced bookkeeping time and errors
- Real-time financial data updates
- Accurate VAT/tax reporting
How the Xero Integration Works
Section titled “How the Xero Integration Works”Customer Synchronisation
Section titled “Customer Synchronisation”When you add a customer in the billing platform, the integration can create a matching customer record in Xero. This ensures customer details remain consistent between both systems.
Invoice Export
Section titled “Invoice Export”Invoices produced by the billing platform are automatically sent to Xero. This includes:
- Invoice amounts and line items
- VAT/tax calculations
- Due dates and payment terms
- Customer references
Payment Import
Section titled “Payment Import”The integration works both ways. When you record payments in Xero (such as those collected via bank feeds), the platform imports these payments and applies them to customer accounts. This keeps both systems reconciled without manual matching.
Reconciliation Benefits
Section titled “Reconciliation Benefits”By synchronising invoices and payments automatically:
- Your Xero accounts stay current without manual data entry
- Customer balances match between systems
- VAT returns include all billing platform invoices
- Audit trails show complete payment history
- Month-end reconciliation takes minutes, not hours
Setup Requirements
Section titled “Setup Requirements”Generally an initial setup step is required before these integrations can be used, to authorise the platform to access your Xero account. This is usually performed by using a special authorisation link in the platform to Xero where you can grant access securely.
Once authorised, you can configure which customers, invoices, and payments to synchronise, and set up the frequency of data exchange.
Common Use Cases
Section titled “Common Use Cases”Monthly Billing Workflow: The platform produces invoices at month-end and sends them to Xero automatically. When customers pay via Direct Debit or card, payments sync to Xero for complete reconciliation.
Bank Feed Reconciliation: You receive a bank transfer from a customer. You match it in Xero using bank feeds. The platform imports this payment and allocates it to the correct invoice automatically.
VAT Returns: All invoices from the billing platform appear in Xero with correct VAT codes. Your VAT return includes complete billing data without manual checking.
