Expected Payments Report

The Expected Payments Report lists the expected payments recorded against your customers, or totals them by customer or by expected payment type. It shows which expectations a payment covers and which are still unsatisfied.

The report appears under Invoices on the Reports menu when all of these are in place:

  • The Expected Payments module is enabled
  • You have the Reports Access and Invoices/Payments permissions (see Who Can Run a Report)
  • You can list expected payments and customers

Filters and columns for fields you cannot see are left out. Linked-record filters also need the matching module and permission to list those records, for example Payment Cards for the payment card filters.

  • Find expected payments that are due but not yet covered by a payment
  • Total what you expect to receive in a period, by customer or by expected payment type
  • Find expectations whose linked payment was reversed, so you can arrange another collection
  • Check which expectations are tied to a particular card, Direct Debit account, chase arrangement or proposal

An expected payment is covered when it has a linked payment that has not been reversed. Pending payments count as covering, so covered does not confirm that the money has arrived. Every other expected payment is unsatisfied, including one whose linked payment failed or was reversed.

Coverage starts at Unsatisfied. Choose All expectations or Covered by payment to change it. A saved default for the report form, or a selection you have made, takes the place of the starting value.

For general guidance on running reports and using filters, see Using Reports. The Quick filter view shows the due dates, Coverage and Expected Payment Types. Choose View > Filters > Full to see every filter.

Leaving a filter blank applies no restriction.

Each pair is a date range: on or after includes that date, before excludes it.

  • Due on or after / Due before: the expected payment’s due date
  • Payment on or after / Payment before: the date of the linked payment
  • Reversed on or after / Reversed before: the date the linked payment was reversed
  • Coverage: All expectations, Unsatisfied or Covered by payment
  • Expected Payment Types: one or more expected payment types
  • Requested Payment Types: the payment types requested on the expectation. Requested types match chooses whether an expectation needs Any selected type or All selected types
  • Expected amount at least / Expected amount less than: the expected amount
  • Currencies: shown where multi-currency is in use
  • Our reference contains / Customer reference contains: part of either reference

Each linked record type has a link filter of Any, Linked or Not linked, plus a field to pick one specific record:

  • Payment link and Payment
  • Direct Debit account link and Direct Debit account
  • Payment card link and Payment card
  • Chase arrangement link and Chase arrangement
  • Proposal link and Proposal

Choose a customer first to pick a specific payment, Direct Debit account or payment card.

Two more filters look at the linked payment:

  • Linked payment status: Any status, Reversed, or Non-reversed (including pending)
  • Linked payment methods: the payment method of the linked payment

Filter by customer name, status and other customer properties. See Common Filters.

  • On Screen: one line per expected payment, with the customer, the expected payment’s details, whether a payment covers it, and the currency
  • CSV Output: the same data as a spreadsheet download
  • Print: a print-friendly layout
  • By Customer: one line per customer, with the number of expected payments, the expected amount, and the number and amount still unsatisfied
  • By Expected Payment Type: the same totals for each expected payment type

Totals are kept separate for each currency.

  • Leave Coverage at Unsatisfied and set Due before to tomorrow’s date to list everything due today or earlier that no payment covers yet.
  • Set Linked payment status to Reversed to find expectations whose collection failed. Check the linked payment before arranging another collection.
  • Use By Expected Payment Type to compare deposits, instalments and other expectation types over a due-date range.
